How can we help?
Guides, tutorials, and answers. All set in plain English.
Six things, step by step.
Import your leads
Get your existing leads into ReiClose in under a minute.
- Go to the Leads page and click 'Import CSV'.
- Upload your CSV file — it auto-detects columns like Name, Phone, and Address.
- Map any unmatched columns manually using the dropdown.
- Click Import and your leads are live in the CRM.
Add team members
Invite your acquisitions manager, dispositions team, or VA.
- Open the Team page from the sidebar (admins only).
- Click 'Add Team Member' and enter their name, email, and a password.
- Assign a role: Admin, Acquisitions, Dispositions, Cold Caller.
- Send them the email and password yourself (no invitation email goes out). They sign in and see the CRM based on their role.
Share your VA form
Let your VA submit leads directly without a login.
- Click 'Copy VA Form Link' in the sidebar. Admins can choose the form's fields on the Web Form page.
- Copy the link and send it to your VA.
- They can submit leads with name, phone, address, notes, and temperature.
- Leads appear in your CRM automatically under your organization.
Follow-up reminders
Never forget to call a seller back.
- Open a lead and change the Contact Status to 'Short Term Follow-Up' or 'Long Term Follow-Up'.
- Short term: weekly reminders for 3 months. Long term: biweekly for 6 months.
- After the schedule completes, it transitions to monthly reminders.
- You'll get both in-app notifications and email reminders.
Manage your subscription
Upgrade, downgrade, or update payment details.
- Go to Settings → Billing (account owners only).
- Use 'Change plan or users', 'Change card' or 'Cancel subscription' right on the Billing tab.
- Invoices for every payment are listed under the plan.
- Cancellation takes effect at the end of your billing period.
Roles and permissions
Control who sees what in your organization.
- Admin: Full access to everything including team management. Billing is visible to the account owner only.
- Acquisitions: Access to leads, deals, tasks, and documents.
- Dispositions: Access to buyers, deals, and matching features.
- Cold Caller: Works purchased lists on the Data page and sends good ones to acquisitions, without seeing leads or deals.
- Invited team members inherit the account owner's plan limits.
Plans, texting, contracts, explained.
Plans and billing
At a glance
- Free: $0. 1 user, 20 leads and 5 buyers, no texting. Only for accounts created before the 30-day trial began; new accounts start with the trial instead.
- Starter: $79 a month. Unlimited leads and buyers, your own texting number, one-to-one texts and drip campaigns, 500 texts a month included. 1 user included.
- Pro: $149 a month, coming soon. Everything in Starter, plus text blasts to sellers and buyers, unlimited email campaigns, 5,000 texts a month and a triple line dialer. You can see it, but you cannot buy it yet.
- Premium AI: $299 a month, coming soon. Everything in Pro, plus an AI lead manager that qualifies leads, an AI receptionist that answers and qualifies calls, and an AI assistant that replies to texts. You can see it, but you cannot buy it yet.
The 30-day free trial
New accounts start with 30 days of Starter free. You add a card when you sign up; nothing is charged during the trial, and if you cancel before it ends you pay nothing. When the trial ends your card is charged $79 a month (plus $10 for each extra user you chose).
Texting, drip campaigns and text blasts unlock after your first payment, so no number is bought for you during the trial. To start texting sooner, upgrade from Settings: the trial ends and the plan you pick is charged straight away.
If the charge at the end of the trial fails, the account is locked until you choose a paid plan. Your data stays where it is.
Moving from the Free plan to Starter
If your organization is on the Free plan and has never had Starter before, your first 30 days cost $59 instead of $79. After that it is $79 a month. The plan card in Settings shows the first-month price only when your organization qualifies, and the checkout page shows exactly what you pay today and what you pay after that.
Extra users
Starter includes 1 user. Every extra user is $10 a month, up to 50 extra users. Pick the number of users before checkout, or add them later (see "Change your plan or users").
When every seat is taken, the Team page shows "Add a user for $10/mo" to the account owner. Other team members see a note asking the owner to add one.
The Free plan's limits are lifetime limits
Every lead and buyer you create counts toward the Free plan's 20 leads and 5 buyers, including ones you later delete. Deleting a lead does not give the space back. Paid plans have no lead or buyer limit.
Billing is monthly
Every paid plan renews monthly. There is no annual plan. Payments are processed by our payment processor, Commas.
Steps
- Go to Settings and open the Billing tab. Only the account owner sees it.
- Use the users stepper next to "How many users?" to pick how many people need a login.
- Click "Choose Starter". You go to a secure checkout page run by Commas. (Pro and Premium AI are coming soon and cannot be bought yet.)
- Pay there. You come back to Settings, and the page says "Payment received. Activating your plan..." while it waits for the payment to confirm. This usually takes a few seconds.
What happens next
- Starter include texting, so your organization is given its own texting number automatically. See "Your business number".
- If the plan still shows Free after a minute, click the refresh button at the top of the Billing card.
Steps
- Go to Settings, Billing and click "Change plan or users".
- Set the number of users.
- Read the new total and when it applies, then click "Continue to checkout".
When it takes effect
- Adding users (a higher monthly total) applies as soon as checkout completes. You pay the difference for the days left in this billing period now, and the new total from your next renewal.
- Removing users (a lower monthly total) applies at your next renewal. Nothing is charged until then, and your current plan keeps working until that date. The Billing tab shows "Changing to..." with the date.
- You cannot pick fewer users than your team already has. Remove people on the Team page first.
Cancel
You keep full access until the end of the period you paid for. Then your organization moves to the Free plan (20 leads, 5 buyers, 1 user, no texting). Your data stays.
- Go to Settings, Billing and click "Cancel subscription".
- Confirm with "Cancel subscription". "Keep my plan" closes the box without changing anything.
Changed your mind?
After cancelling, the Billing tab shows "Resume" buttons for each plan. Resuming takes you through checkout again, and you are not charged until the date your current period ends.
Change your card
Go to Settings, Billing and click "Change card". You check out again with the new card. You are not charged twice for the same period.
If a payment fails
The Billing tab shows "Payment failed" and Commas retries the payment automatically. If your card has changed, click "Use a different card" and check out with the new one.
Invoices
Every payment, including text packs, is listed under Invoices at the bottom of the Billing tab, newest first. Use "Download invoice" to save a copy.
Included texts
Starter includes 500 texts a month (Pro, coming soon, will include 5,000). They reset at the start of each billing month and do not roll over. The Texts card in Settings, Billing shows "Included this month", your text credits, and the reset date.
Buying more
Packs cost $0.02 per text segment, so a $10 pack buys 500 texts. Credits never expire. Your included texts are always used first.
- Go to Settings, Billing and find the Texts card.
- Under "Top up", pick a pack: $10 for 500 texts, $25 for 1,250 texts, $50 for 2,500 texts.
- Pay on the secure checkout page. Back in Settings you see "Payment received. Adding your text credits..." and the credits appear shortly after.
Good to know
- Packs are for the Starter plans.
- A long text, or one with an emoji, can use more than one segment. See "How texts are counted".
Texting
How you get it
When your organization moves to Starter, ReiClose buys a local number for you automatically. We try the area code of the account owner's phone number on their profile first. Until it is ready, the text box on a lead says "Your texting number is being set up."
The number is for texting through ReiClose only. Texts you send and receive appear on the lead or buyer and in Texts in the sidebar.
Before you can send
Having a number is not enough on its own. US carriers only deliver business texts from numbers registered to the business sending them, so texting stays locked until your registration is approved. See "Setup your drip campaign".
If you leave a texting plan
Texting stops when your organization is no longer on Starter. The number is kept for a grace period in case you come back, then released.
Why texting is locked until you do this
US carriers require every business that texts from a regular local number to register its business and how it texts (this is called 10DLC). Unregistered business texts are blocked by the carriers. We submit the registration for you, and texting and drips unlock as soon as it is approved and your number is attached.
Where to find it
Look for the "Setup your drip campaign" card on the Dashboard, on Drips, in Texts, or on the Get started checklist, and click "Start". Team members who are not admins see "Ask an admin or the owner to complete it."
What you will need
Sensible wording is filled in for you; edit it to match how you really work. Your EIN is sent to the registry once and not stored: we keep only its last 4 digits.
- Business: your business type, legal business name, brand name, EIN, industry and website. A sole proprietor with no EIN gives their full legal name, first and last name and a mobile number instead, and the website is optional.
- Address and contact: street, city, state, ZIP code, email and phone.
- How you text: your use case, a short description of who you text and why, 2 to 5 sample messages (at least one must say "Reply STOP to opt out"), how people agree to receive your texts, your HELP reply and your opt-out confirmation.
Steps
- Click "Start" on the card.
- Fill in Business, then Address & contact, then How you text, clicking "Next" between them.
- Check the Review page and click "Submit for approval".
- Sole proprietors only: we text a verification code to the mobile number you gave. Enter it and click "Verify".
How long approval takes
The registry reviews new businesses by hand. It usually takes a few business days and can take longer; you don't need to do anything while you wait. Click "View status" on the card, then "Check status now", to see where it stands. Once approved, we attach your number, which usually takes minutes, and the card says texting and drips are unlocked.
If it is not approved
The card says "The registry did not approve it". Click "Fix and resubmit" to see the reason the registry gave, correct the details and submit again. Your earlier answers are filled in for you, except the EIN, which you type again.
Sole proprietors
Carriers limit sole-proprietor registrations to one number and low volume.
Who you may text
- A one-to-one text needs consent on record for that contact, or an earlier text from them to you.
- A drip or a blast needs consent on record, checked when you enroll the contact and again before every text.
- Never text purchased, scraped or skip-traced lists. Carriers suspend businesses that do, and a list you bought is not consent. Records in Data (your calling lists) can never be texted or enrolled.
Record consent
"Revoke consent" removes it again. "Do not text" blocks the number for your organization; only the contact texting START can undo that.
- Open the lead or buyer and go to the text panel.
- Click "Record consent".
- Choose how they agreed (Web form checkbox, Written / signed, Verbal (on a call), Imported with consent, Other) and, if you like, what they agreed to.
- Click "Save". It is recorded with your name and the time.
STOP
If a contact replies STOP (or STOPALL, UNSUBSCRIBE, CANCEL, END, QUIT, REVOKE or OPTOUT), or writes something like "stop texting me" or tells you it is the wrong number, they are opted out for your organization straight away. Every drip they are in stops, texts already queued to them are not sent, and the panel shows "Opted out". If they later text START or UNSTOP, they can be texted again.
HELP
If a contact texts HELP or INFO, they get your HELP reply automatically. That reply is free.
The opt-out line
The first text of a drip, and your first one-to-one text to a number, end with "Reply STOP to opt out" automatically unless you already wrote STOP in it.
Quiet hours
Texts are only sent between 8am and 9pm in the contact's time zone, worked out from their area code. If an area code covers more than one time zone, the text waits until it is inside those hours in all of them. A text written outside those hours is queued, and you see "Queued for ... (quiet hours)" with the time it will go out.
Limits
- Each organization has a daily limit on how many texts it sends. Texts over the limit wait and go out later; they are not lost.
- One bulk enrollment or blast can include a limited number of contacts; the dialog shows the maximum next to how many you selected.
- Carriers also apply their own limits, especially to sole-proprietor registrations, and may hold texts for a while at busy times.
Drips and text blasts
Steps
- Click Drips in the sidebar.
- Type a name in "New campaign name" and press Enter or click +. The drip starts with one step.
- Write the first text. Use the boxes next to it to set how long to wait after enrolling (days and hours), then click "Save".
- Click "Add step" for each follow-up, and set how long to wait after the previous step.
- Choose whether the drip should "Stop when they reply" and "Stop when the lead changes stage".
Merge fields and preview
You can use {first_name}, {name}, {org_name} in a text. They are filled in for each contact. A field the CRM does not know is refused when you save. The preview under each step shows the finished text, the opt-out line on the first step, and how many segments it uses.
Pause, restart or delete
"Pause" stops new texts going out from the drip and "Activate" turns it back on. Deleting a drip stops everyone in it at their next step.
Before it sends anything
You can build drips any time, but nothing is sent until your number is ready and "Setup your drip campaign" is approved.
One contact
To take someone out early, click "Stop this drip" next to it.
- Open the lead or buyer and go to the text panel.
- Under Drip, choose a campaign and click "Enroll".
Many contacts
- On Drips, click "Enroll contacts".
- Choose an active campaign.
- Tick contacts, or filter and click "Select shown".
- Click "Enroll". A message tells you how many were enrolled and why any were skipped.
Who can be enrolled
- Only leads and buyers with consent on record are listed.
- A contact is skipped if they have no textable phone, have opted out, have no consent on record, or are already in that drip.
- Purchased calling lists (Data) can never be enrolled.
- Texts go out between 8am and 9pm in each contact's time zone.
Steps
- On Drips, click "Text blast".
- Write the message. The preview shows how many segments each text uses.
- Pick the contacts. Only leads and buyers with consent on record are listed.
- Check the estimate ("about ... of ... texts left") and click "Send to ...".
Good to know
- Blasts are part of Pro, which is coming soon and cannot be bought yet. On another plan, the dialog offers "See plans".
- Texts go out between 8am and 9pm in each recipient's time zone, and the daily limit applies, so a large blast can take more than a day to finish.
- If you do not have enough texts for everyone, the rest wait until you top up.
Segments
Carriers deliver texts in segments. A plain text of up to 160 characters is one segment; a longer one is split into segments of 153 characters each. If a text contains an emoji or certain special characters, the limits drop to 70 characters for one segment and 67 for each segment after that.
Each segment uses one of your texts. The composer and the drip preview show the segment count before you send.
What counts
- Every text you send, every drip step and every blast text counts, per segment.
- Automatic HELP replies are free.
- If a text could not be handed to the carrier at all (for example the contact opted out before it went), its texts are given back.
What happens
Texts first come out of your plan's included texts, then out of your text credits. When both are used up, sending pauses: the text box says "Sending is paused" with a "Top up" link, the Texts card in Settings shows "Sending paused", and drips and blasts wait.
Nothing is dropped. Drips and blasts carry on by themselves after you buy a pack or when your included texts reset at the start of the next billing month.
Top up
The account owner buys text packs in Settings, Billing, at $0.02 per segment. See "Texts included and text packs".
Contracts and e-sign
Steps
- Go to Settings and open the Contracts tab.
- Under "Signing address", type a short name for your company and click "Save". Signers open your contracts at that address, and contract emails come from it.
- Click "Turn on e-sign". The status changes to "Ready to send" when setup finishes; setting up a new signing address can take a while, usually under an hour.
- Optional: set a sender name, upload your logo, choose where replies go, and set the defaults for expiry, reminders, signing order and access codes.
Changing the address later
You can change the signing address. The old one keeps working for 90 days, so links you already sent still open.
Steps
- Click Contracts in the sidebar and open the Templates tab.
- Click "New template" and upload your PDF (up to 15 MB). If it is a fillable form, its fields are imported and matched to CRM fields for you.
- Matched suggestions are marked Unconfirmed. Check them one by one with "Confirm", or click "Accept all matched".
- To add a field, pick it under "Add a field", then click the page where it goes. Drag and resize it into place.
- For each field, choose its data source (a lead field, a custom field, or a template variable), who fills it, and whether it is required. Signature, initials and date-signed fields are filled by the signer.
- Under Recipients, list the parties (for example Seller and Company) and whether each one signs or gets a copy.
- Under Template variables, add values the CRM does not store, such as earnest money or a closing date. The sender fills them in when sending.
- Name the template and click "Save version".
Editing a template
Click "Edit (new version)". Saving creates a new version, so contracts already sent keep the version they were sent with. A template that has been used can be archived but not deleted.
Steps
- Open the lead and find Contracts. Click "Send contract". (You can also start from "New contract" on the Contracts page.)
- Documents: tick one or more templates, or click "Upload a PDF for this contract only".
- Recipients: check the names and emails, which are filled in from the lead where possible. Use "Add signer" or "Add copy (CC)" for more people, and choose the signing order.
- Details: set the title, fill in any template variables, and choose when it expires and how often to remind.
- Review: read the filled-in PDF. If a field is empty, go back and fill it, or tick "leave blank".
- Click "Send". Each signer gets one email with a link to sign.
Signing order
- "One after another": each signer gets their link only when the person before them has signed.
- "All at once": everyone gets their link straight away.
Access code
Tick "Require an emailed access code" if signers should enter a code before they can open the contract.
Where to see it
Click a contract on the lead, or on the Contracts page, to see its recipients, status and timeline. The Contracts page has a "Waiting for signatures" filter and a "Waiting on" column.
Reminders
If you set "Remind every (days, blank = off)", signers who have not signed are reminded automatically. To nudge them now, click "Remind now". A signer is reminded at most once an hour, and each reminder carries a fresh link; older links stop working.
Fix a mistake
"Correct and resend" creates a corrected draft for you to send again. "Void" cancels a contract, with an optional reason, and its links stop working.
Sign in person
With the signer next to you, click "Sign now on this device" beside their name. The signing page opens on your screen. The link works once and only for a few minutes. To send a contract only for in-person signing, leave the signer's email blank.
If an email bounces
The recipient shows "email bounced: check the address". Correct the address and resend.
When everyone has signed
- Every party, including people copied in, gets an email with the completed contract attached.
- The signed PDF and its audit certificate are saved with the contract. Open the contract and use "Download signed" or "Audit certificate".
- A copy is filed in Documents, attached to the lead, and the sender is notified.
- On the Contracts page, "Download signed" downloads the signed copies of the contracts in your current view.
Contracts signed elsewhere
Use "Import signed PDFs" on the Contracts page to file contracts you had signed another way, attached to a lead. Imports never count against your sends.
Allowance
A contract counts once, when it is sent, however many documents and signers it has. Voiding or a decline does not give it back, and correcting and resending a contract does not count again. The send window shows how many you have left, and Settings, Contracts shows how many you have used. ReiClose may also limit how many contract emails a new account sends per hour and per day while it builds a sending reputation.
- Free: 3 contracts in total.
- Starter and Pro: unlimited contracts, no monthly limit.
Automations
Steps
- Click Automations in the sidebar and create a rule.
- Under the trigger, choose "Contract is completed".
- Pick "Any contract", or one of your templates to match only contracts built from it.
- Choose what should happen, for example move the lead to a stage, and save.
Good to know
- It fires once per contract, when the last signer signs.
- A contract sent from a deal fires for that deal's lead.
- Contracts you import with "Import signed PDFs" never fire it.
- It is greyed out as "Contracts not enabled" until e-sign is turned on in Settings, Contracts.
Steps
- Create a rule with any trigger, for example a lead moving to a stage.
- Under "Then do this", choose "Enroll in a drip" and pick the drip.
- Save the rule.
Good to know
- It is unavailable ("Texting not set up yet") until "Setup your drip campaign" is approved. The editor links to Drips so you can start it.
- The same rules as enrolling by hand apply: the lead needs a textable phone and consent on record, must not have opted out, and is not enrolled twice in the same drip.
- If a lead cannot be enrolled, the rule records why on the Automations page instead of failing silently.
- One action per rule. To also create a task, add a second rule on the same trigger.
Getting started
How it works
The checklist sits in the corner of the app as "Get started". Its items depend on your role: an owner sees things like adding a first lead and inviting a teammate, a team member sees things like setting their own password.
Items tick themselves when you actually do them, for example when your first lead exists. You can also mark an item done yourself, or finish its tour.
Owners and admins also see "Setup your drip campaign", which opens the texting registration and ticks once it is approved.
Hide it or bring it back
Collapse it to a small pill, or hide it. To bring it back, open the Help (?) menu at the top of the app. The same menu has "Take a tour of this page".
What the difference is
Basic is the standard view. Advanced is a denser layout for people who work in the CRM all day, with grouped navigation and more on each screen. The choice is personal: switching changes only what you see, not what your team sees, and nothing about your leads, deals or settings.
Switching
Advanced is being rolled out. When it is available for your account, an Interface card appears on your Profile page, and you can switch between Basic and Advanced there at any time. Existing users may also see a "Try Advanced" card.
If you're wondering, you're not alone.
Click 'Forgot password?' on the sign-in page and we'll email you a reset link.
Yes. On the Leads or Buyers page click 'Export' (or select records first) to download a CSV. Contact support if you need a full export of everything else.
The Team page is only visible to users with the Admin role. If you're an invited team member with another role, you won't see it.
Make sure you're sharing the correct link with your VA team. If the form is still not working, reach out to us through the CRM or at support@reiclose.com.
Open the lead and click 'Delete Lead' at the bottom. Deleted leads move to Trash and are automatically purged after 30 days. You can restore them from the Trash page before then.
Yes. Use the Team Members dropdown inside a lead to assign multiple people. They'll all see the lead and can add comments and tasks.
Every lead you create counts toward the Free plan's 20 leads (and every buyer toward its 5), including ones you later delete. Starter and Pro have no lead or buyer limit.
New accounts start with a 30-day free trial of Starter: a card is required, nothing is charged during the trial, and texting unlocks after your first payment. Accounts created before the trial began can stay on Free, which is $0 (1 user, 20 leads, 5 buyers, no texting). Starter is $79 a month (a Free organization that has never had Starter pays $59 for its first 30 days): unlimited leads and buyers, your own texting number, 1:1 texts and drips, 500 texts a month. Pro is $149 a month and adds text blasts and 5,000 texts a month. Both include 1 user; each extra user is $10 a month. Premium AI ($299 a month, 3 users, minutes, texts and AI included) is coming soon. Billing is monthly.
Go to Settings → Billing, pick Starter or Pro and how many users you need. You'll be taken to a secure checkout page run by our payment processor, Commas. To change plan or add users later, use 'Change plan or users': upgrades and added users apply right away (you pay the difference for the rest of the month), downgrades and fewer users apply at your next renewal.
Your plan's included texts reset every billing month. After they are used, texts draw from prepaid text packs ($10, $25, $50, at $0.02 per text segment) that the account owner can buy in Settings → Billing. Credits never expire. With no texts left, sending pauses until you top up. A long text can use more than one segment.
